When looking at day to day task performed in our businesses, we can easily separate them in to 2 buckets.  Those that add value to business/clients and those that don’t. We want to spend more time on tasks in bucket 1 and less of bucket 2.

The reality is the tasks that don’t add value still have to be completed. The battle to assigning time to both these buckets means we cannot pay attention to task in the way we would like to.

Whilst we may still have to perform some tasks that don’t add value, we can minimise the time we spend on them.

Below are some thoughts tips that may be helpful.

1 – Eliminate Double Entry

We all know that double entry of data is time consuming and creates a risk of errors. Unfortunately, there are many organisations where management are not even aware where double is happening. So to eliminate this item:

  • – Identify by survey staff. Simply ask “Do you rekey any information?”.
  • – Confirm the data is needed to be in both places.
  • – Consider workflow automation to ensure data is kept in sync between systems.
2 – Understand Actual Requirements

In particular, compliance obligations can be misunderstood. Over time “Chinese Whispers” can lead to a view that something is required when perhaps it isn’t. Correctly understanding requirements can lead to a more creative or efficient way of performing the task.  Consider the following steps:

  • – If you are doing something because “We have to”, confirm if that is true.
  • – If you are doing something because “We have always done it that way”, ask why.
  • – If you are doing something because “Everyone else does it that way”, verify it for yourself.

When you have complete certainty of the requirements, revisit with some of the following questions:

  • – Is there a better way?
  • – What would improve the customer experience?
  • – Can we do this more efficiently?
  • – Can we automate this task?

3 – Review Automation Possibilities

Automation was once an expensive solution that required a large expenditure and corporate budgets.  There are now many tools available to all size organisations which are affordable and effective.  If you are in the Microsoft universe, consider Power Automate and AI solutions.
