5 Ways To Get More Out Of Microsoft

05/09/2020 admin Comments Off

Are you taking advantage of your Microsoft Subscription?  How much are you paying for this subscription each month?  Can you get more value for your money?

In many businesses (both large and small), the Microsoft 365 (Formerly Office 365) Subscription provides value in a number of areas including, emails, shared calendars and file storage.  It also provides access to the familiar tools of Outlook, Word, Excel and PowerPoint. There is SO MUCH MORE than this.

Firstly you should understand what subscription you have.  Use this link to see different levels of subscriptions that are available.

Here are 5 ways you can “Get More Out Of Microsoft” without paying more.

1 – Surveys & Forms

How are you collecting information from staff and clients?  Fill in a printed document, maybe a “Completable PDF” or maybe you are paying a license for a survey tools such as Survey Monkey.  If this is you it is time to take a look at Microsoft Forms.

Forms allow you to prepare a series of questions, send a link to staff and customers and obtain results.  Real life examples when you could use forms:

  • Customer satisfaction surveys
  • Staff suggestions
  • Client information collections
  • Marketing surveys and data collection
2 – Management Reporting

A common Monday morning scenario is someone collects all the results from the last week, collates them in to Excel and then creates Graphs and Pivot Tables which are then emailed (or printed and sent) to various managers.  You get a static report which is supported by 4 or 5 pages of data in case you want to drill down further.

An alternative solution is an online view of that data with sales results represented in a bar graph or a map showing locations of sales.  Click on the “Sydney” area and the related data is summarised by the Sydney only results. Perhaps you would like to see the data for specific sales rep.  Click on their name and see the data reflect accordingly.

Power BI is an exciting tool for all those who are looking to take advantage of the data within the organisation.

3 – Just Want to Find that Document

Have you ever wondered “Where is that document?” or “Who has been working on it?”  Maybe your staff member is sick and you need to find the latest version of a proposal.  Delve gives you a much greater view of what is happening across the environment.

Open Delve. Click on a staff members name and see what they have been working on.

4 – Working On The Same Document

With a workforce which is more mobile or working in different offices, it is not always possible to sit together and go through a document.  Using SharePoint, it is possible to Co-Author a document.

Yes, 2 or more people working on the same document at the same time whilst on the phone (we won’t mention Teams).  Each will see the updates being made by the other.  You can even see where they are in the document!

Changes are made, the file is saved and versions are created for future reference.

5 – Clients Making a Booking

Making bookings and matching calendars can be simply painful.

It would be great to be able to send a list of available time slots to a client and they can simply choose what suits them.

Well you can!  Bookings provides a site where people can find an suitable time where you are available that matches their diary and will put the entry directly in to your calendar.

Perfect for:

  • Accountants
  • Bookkeepers
  • Hairdressers
  • Lawyers

… Anyone who makes appointments with clients…
